Parent/Guardian Volunteer Sign Up Form 2023 - 2024

Parent/Guardian Volunteer Shifts 2023 - 2024

  • Shift 1: 5:00 - 7:00 pm 
  • Shift 2: 7:00 - 9:00 pm (If you are attending the dinner, you won't be able to volunteer during this time)
  • Shift 3: 9:00 - 11:00 pm
  • Shift 4: 11:00 - 1:00 am

Safe Grad Parent/Guardian Committee Responsibilities 2023 - 2024

PARENT GRAD CO-CHAIRS

  • We need one or two parent volunteers to be the adults-in-charge when we transition from the dinner portion of the night to the dance portion of the night (Safe Grad).
  • Maples Collegiate is responsible for the dinner portion of the night.
  • The biggest responsibility is managing the doors for the sign in/out procedures.
  • Ensure that every grad (and their guest) is picked up by the parent or guardian that was listed on the table.

DOORS COMMITTEE

  • Check in the grads and guests at the start of the event. THEY NEED GOVERNMENT-ISSUED ID.
  • Put wristbands on everyone attending the event: grads, guests, parents, and staff members. Put a red wristband on individuals under 18. The blue wristbands are for individuals who are 18 and over.
  • Ensure that the grads get picked up by the parent or guardian listed on the sign in/out sheet. They need to present the driver’s licence (not their plate number).
  • Phone home for unforeseen emergencies (such as a grad needing to get home earlier than expected).
  • Ensure no one enters the dance who doesn't belong.
  • No grads or guests can drive home.
  • No one will be allowed to leave on their own accord by taxi, friend or relative unless indicated on the door forms. 
  • Guard exterior doors against people without tickets and guests who want to leave but did not sign out yet.
  • Ensure that the grads leaving the event are accompanied by their parent/s or guardian/s.

MEDICAL COMMITTEE

  • Supervise the sick bay, washrooms, and dance areas for ill students.
  • Care for sick, call home if necessary.
  • Fill out incident reports if needed.
  • Clean up if necessary.

DONATIONS COMMITTEE

  • Secure donations for the raffle prizes to be awarded at the dinner and dance.
  • Package the gifts received and deliver it to the Maples Office on or before Jun 20, 2024.

HOSPITALITY COMMITTEE

  • Secure, pick up, and deliver food donations for the parent volunteers to Victoria Inn Hotel.
